GDPR – Privacy Policy

The relationship between Optiek Maertens and its stakeholders (customers, suppliers,...) is very important. Only on the basis of good trust, can a good cooperation be established. Therefore, we also handle everyone's personal data very carefully. In this statement, we explain how we handle the personal data that we obtain in our contact with you.

When you use our services and our website, you unconditionally accept this Privacy policy. 

What data do we collect?

Some data resulting from one or more visits to our website(s) are permanently stored in Google Analytics, but anonymously. The data will therefore never be traceable to a person or organization.

We collect all requests sent via our contact form on the website via our secure mailbox and are not further collected on the website.

Furthermore, we collect contact details (name, email address, phone numbers) if you provide them to us.

Cookies

During a visit to our website, cookies may be placed on the hard drive of the visitor's computer. This is done with the sole purpose of making the site better suited to the needs of the visitor. Cookies are never used to monitor the visitor's surfing behavior on other websites. We use functional cookies to optimize the functionality of certain pages of the website. This means that some choices do not have to be made repeatedly or data do not have to be re-entered.

• For the execution of an agreement with Optiek Maertens
• To add your company as a contact in our quotation and invoicing program, and thus make it possible to send quotations, invoices and payment requests

• To inform you exceptionally about events related to our services
• To evaluate our operation and services
• For the processing of personal data, we rely on your consent and/or the necessity of processing for the provision of our services to you, or on a legal obligation or due to a legitimate interest.

Disclosure of personal data to third parties

We share your personal data only with your consent, when necessary to provide you with our services, or if legally required. If it is necessary for Optiek Maertens to transfer your personal data to third parties, this third party is obliged to use your personal data in accordance with the provisions of this Privacy Statement. Data provided by the stakeholder to Optiek Maertens will never be passed on to third parties. However, there are some exceptions to this rule:

• When a court order has been issued to provide data or in the context of an investigation into suspected or actual fraudulent and illegal activities.
• For our accounting, your data will be kept by our accountant. This data is only kept and used for the preparation of an accounting in accordance with Belgian legislation.

In all other cases, Optiek Maertens will not sell, rent or pass on your personal data to third parties.

How long do we keep this personal data?

We keep personal data for as long as necessary to provide you with our services (as described in the Privacy Statement under 'Use of personal data' or for other essential purposes, such as complying with our legal obligations (as described in the Privacy Statement under 'Disclosure to third parties'). The data is deleted 5 years after the end of each collaboration or after the last contact between us, unless in the event of an ongoing dispute or if legally required (e.g. for accounting)

What are your rights?

 If you wish to exercise your privacy rights, as specified below, please contact Optiek Maertens via  info@optiekmaertens.be You can exercise your rights at any time, subject to the provision of the necessary identification. We undertake to respond promptly to your requests or complaints. 

• You have the right to access and improve personal data.
• You have the right to erasure of your personal data 'right to be forgotten'.
• Right to a limitation of the processing of your personal data.
• Right to the portability of your personal data.
• Right to object to the processing - fully or partially - of your personal data. Note that this may result in us no longer being able to provide our services.

 Following your request to modify or delete your personal data, we will no longer use your data and will only keep the data to the extent necessary to comply with the legal obligation. If at any time you find that one of your rights has not been respected, you can also lodge a complaint with the Belgian Privacy Commission (see: https://privacycommission.be) 

Security of personal data

Optiek Maertens undertakes to take reasonable, technological and organizational measures to prevent unauthorized access to your personal data, as well as loss, misuse or modification of your personal data.

Special and/or sensitive personal data that we process

 Our website and/or service does not intend to collect data about website visitors who are younger than 16 years old, unless they have permission from parents or guardians. We cannot, however, check if a visitor is older than 16. We advise parents to be involved in the online activities of their children, in order to prevent data from being collected about children without parental consent. If you are convinced that we have collected personal data about a minor without this consent, please contact us at info@optiekmaertens.be, and we will delete this information.
